How to split costs for a group event or trip fairly

Money is the most common source of tension after a group event. It is usually not about the amount. It is that nobody agreed in advance how to split, and nobody knows who paid for what. A few simple rules prevent most of the trouble.

Before the event: agree on a method

One sentence in the invitation is enough: "We will split costs equally among everyone who comes and settle up the day after."

During the event: record everything

  1. Whoever pays, writes it down. The amount, what it was for and who paid.
  2. Keep the receipt or a photo of it. It saves questions later.
  3. One place to record. Not in separate chats.
  4. Make it safe to front money. People buy more freely when they know they will be paid back.

After the event: settle once

The common mistake is to pass money around between everyone. A better way is to work out who is owed what and make as few transfers as possible:

  1. Add up all the expenses.
  2. Divide by the agreed method, and note how much each person actually paid.
  3. People who paid more than their share are owed money, and people who paid less owe it.
  4. Make the minimum number of transfers, and write down that it is settled.

Example

Four friends, $1,200 in expenses: one paid $800 for food, one paid $400 for drinks, and two paid nothing. Each share is $300. The person who paid $800 is owed $500, and the person who paid $400 is owed $100. The two who paid nothing send $300 each, $600 in total, which is split between the two who paid.
