How to organize a potluck so you don't end up with five desserts

A potluck is a great way to feed a crowd without one person doing all the cooking. It only goes wrong in one way: nobody knows what anybody else is bringing, and you end up with five desserts and no main dish. A little structure fixes that.

Start with categories, not a free-for-all

Decide how many dishes you need in each category, based on how many guests are coming:

You can set the number per category as a rule of thumb, for example one main dish for every three or four guests, and adjust to your group.

Let people choose, in one visible place

The reason potlucks end up unbalanced is that people answer privately. Use one shared sign-up list where everyone can see what is already taken. Plan for dietary needs

Practical details that save the day

  1. Who needs the oven or a plug-in? Ask before the day, since you may have only one oven.
  2. Serving gear. Everyone brings a serving spoon for their dish.
  3. Keep cold food cold and hot food hot. Perishable food should not sit out for more than two hours, or one hour in hot weather.
  4. Containers. Ask people to take their dish home in the same container they brought it in.
  5. Take-home bags or containers for leftovers.
